Loyalty program software

Loyalty software is the system that records who bought what, applies the rules you set, and tells you afterwards whether it worked. Most of the feature lists you will be shown are decoration; four things actually decide whether the thing works in a real shop.

It has to reach the till

A platform that lives on a separate phone will be skipped whenever there is a queue — which is exactly when your best customers are standing there. Half your visits go unrecorded, and every number the system reports afterwards is drawn from a sample nobody knows is broken.

Ask which cash registers it connects to, and what happens on a voided bill. A system that leaves points on a cancelled sale is a system that leaks money quietly.

Rules have to differ by branch

A shop on a busy street and one in a residential district have different baskets, different frequencies and different busy hours. Software that forces one rule across the whole company hides that, and averages away the only comparison worth making.

What you want is a rule that belongs to the business, with any branch able to follow it or set its own — and every number reported per branch.

The customer list has to be yours and real

The by-product of a loyalty program is the only customer database most small businesses will ever have: who visits, who spends, who has gone quiet. If the platform cannot answer those three questions, it is a discount calculator, not loyalty software.

The ledger must be append-only

Every point issued and spent should be a record that is never edited. Corrections are posted as a compensating entry, so a disputed balance can be reconstructed months later, and a staff member cannot quietly adjust history.

This sounds like an accounting detail until the first argument at the counter about a balance. Then it is the whole product.

What to ask before buying anything

Which registers do you integrate with, and what happens on a void? Can branches differ? Can I export my customer list? Is history editable? What does a staff member see versus an owner? Every one of those has a wrong answer, and the wrong answers are common.

What should loyalty program software do?

Record every purchase against a person, apply your rules at the till without slowing the queue, let branches differ, and keep an append-only history so a disputed balance can be reconstructed. Everything beyond that is preference.

Do I need software, or is a paper card enough?

A paper card works right up to the point you want to know anything — who your regulars are, who stopped coming, whether the program pays for itself. Paper cannot answer those, and the answers are worth more than the stamps.

Should the loyalty system integrate with my cash register?

It should be able to. Running loyalty on a second device works, but it gets skipped under pressure, and skipped visits corrupt every number you later rely on.
